Travel should feel exciting. The details behind it should feel clear. These Terms + Conditions explain what to expect when you book a retreat, custom trip, or travel-planning service with Yoga Travel Adventure.
TERMS + CONDITIONS FOR TRAVELERSPlease read these Terms + Conditions carefully before booking travel or services with Yoga Travel Adventure LLC (“YTA,” “we,” “our,” or “us”). By making a booking, paying a deposit or invoice, or otherwise confirming travel arrangements through YTA, you acknowledge that you have read, understood, and agreed to these Terms + Conditions, together with any trip-specific terms, supplier policies, booking confirmations, invoices, or other conditions provided to you.
If you make a booking on behalf of other travelers, you are responsible for ensuring that each traveler is aware of and agrees to the applicable terms.
1. Your Booking
Your booking may include services provided directly by Yoga Travel Adventure LLC as well as services provided by independent hotels, airlines, tour operators, transportation companies, retreat venues, activity providers, wellness professionals, and other travel suppliers.
Specific inclusions, pricing, payment schedules, cancellation terms, and other conditions may vary by trip and will be communicated at the time of booking.
Where a third-party supplier has its own booking terms or cancellation policies, those terms also apply to the applicable portion of your travel arrangements.
2. Deposits + Payments
Certain retreats, group trips, custom itineraries, hotels, experiences, or other travel arrangements may require a deposit to confirm your reservation.
Deposit amounts and whether they are refundable or non-refundable will be disclosed before booking.
Final payment dates vary depending on the trip and the requirements of the applicable travel suppliers. Your specific payment schedule will be provided in your booking confirmation, invoice, proposal, or trip-specific booking terms.
Failure to make required payments by the stated deadline may result in cancellation of your reservation and forfeiture of amounts already paid, subject to the cancellation terms applicable to that booking.
3. Cancellations + Refunds
Cancellation and refund policies vary by retreat, custom trip, accommodation, activity, and travel supplier.
The cancellation policy provided for your specific trip or booking controls.
Trip-specific terms may include non-refundable deposits, payment deadlines, cancellation penalties, supplier-imposed fees, or fully non-refundable payments. These terms will be disclosed before or at the time of booking and may also appear in your proposal, booking page, invoice, confirmation, or supplier agreement.
Airlines, hotels, tour operators, retreat venues, transportation companies, and other independent suppliers may impose their own cancellation or change policies. Yoga Travel Adventure LLC does not control those policies.
Once a payment becomes non-refundable under the terms applicable to your specific booking, Yoga Travel Adventure LLC cannot guarantee recovery or reimbursement of that amount.
We strongly recommend purchasing appropriate travel insurance promptly after booking.
4. Travel Advisor Bookings
When Yoga Travel Adventure LLC assists with hotels, flights, transportation, excursions, restaurants, cruises, or other travel arrangements, we may act as a travel advisor or booking intermediary between you and independent travel suppliers.
The price, availability, amenities, loyalty benefits, cancellation terms, refund policies, and other conditions of those suppliers are determined by the supplier and may change.
Any preferred amenities, upgrades, resort credits, breakfast benefits, or other perks are subject to availability and the individual supplier’s terms and cannot be guaranteed unless specifically confirmed in writing.
Travelers remain responsible for reviewing the terms associated with each booking.
5. Passports, Visas + Entry Requirements
Each traveler is responsible for carrying a valid passport and obtaining all required visas, permits, entry authorizations, health documentation, or other travel documents required by the destination or countries being transited.
Passport validity requirements vary by destination, and some countries require passports to remain valid for several months beyond the dates of travel. Travelers are responsible for confirming current entry, passport, visa, and documentation requirements before departure.
Yoga Travel Adventure LLC is not responsible for denied boarding, denied entry, delays, expenses, or losses resulting from incomplete, expired, inaccurate, or incorrect travel documentation.
6. Traveler Information
You may be required to provide information necessary to arrange your travel, including:
Full legal name as shown on your passport
Date of birth
Passport information when required
Emergency contact information
Dietary restrictions or allergies
Mobility considerations
Medical conditions or physical limitations relevant to participation
Other information required by travel suppliers
It is your responsibility to ensure that all information you provide is complete and accurate.
7. What Is Included
Each retreat, custom trip, or travel arrangement is different.
The services included in your trip will be specifically listed on the applicable itinerary, proposal, booking page, confirmation, invoice, or supplier documentation.
Only items expressly identified as included should be considered part of the trip price.
8. What Is Not Included
Unless specifically stated otherwise, trip pricing generally does not include airfare, baggage fees, passport or visa fees, travel insurance, optional activities, alcoholic beverages, gratuities, personal purchases, medical expenses, or other items not specifically listed as included.
9. Roommate Requests
When roommate matching is offered for a retreat or group trip, Yoga Travel Adventure LLC will make reasonable efforts to match travelers requesting shared accommodations.
Roommate matching is not guaranteed.
If a suitable roommate is unavailable, the traveler may be responsible for a single-room supplement or other additional accommodation cost. Any applicable roommate-matching or single-occupancy policy will be disclosed for the specific trip.
10. Itineraries + Changes
Travel does not always follow the script.
While we work hard to create thoughtful itineraries, schedules may need to change because of weather, transportation, supplier availability, local conditions, safety concerns, government restrictions, illness, or other circumstances beyond our reasonable control.
Yoga Travel Adventure LLC and its travel partners reserve the right to reasonably modify accommodations, activities, transportation, instructors, guides, meals, schedules, or other itinerary elements when necessary.
When changes occur, we will make reasonable efforts to provide an appropriate alternative, but exact substitutions, amenities, or reimbursement cannot always be guaranteed.
11. Optional Activities
Activities that are not specifically identified as included in your itinerary are optional and may be operated by independent third parties.
Participation is voluntary and may be subject to additional fees, requirements, waivers, age restrictions, physical requirements, or supplier terms.
Assistance from Yoga Travel Adventure LLC in identifying or arranging an optional activity does not make YTA the operator of that activity.
12. Travel Insurance
Yoga Travel Adventure LLC strongly recommends that travelers purchase comprehensive travel insurance promptly after booking.
Depending on the policy, travel insurance may provide protection for trip cancellation or interruption, medical expenses, travel delays, lost or delayed baggage, emergency evacuation, and other unexpected events.
Coverage varies significantly by policy. Travelers are responsible for reviewing the terms, limits, exclusions, and eligibility requirements of their chosen policy and for directing specific coverage questions to their insurance provider.
Certain YTA trips may require proof of travel insurance. Any such requirement will be disclosed in the trip-specific booking terms.
Travelers remain responsible for losses or expenses that are not reimbursable under the cancellation terms applicable to their booking or covered by their insurance policy.
13. Health + Participation
Travelers are responsible for determining whether they are physically and medically able to participate in their chosen trip and activities.
Some itineraries may include yoga, hiking, biking, boating, swimming, uneven terrain, elevation, heat, extended walking, or other physical activities.
Travelers should disclose relevant medical conditions, injuries, mobility limitations, allergies, or other concerns that may affect participation so reasonable accommodations can be considered when possible.
Travelers are responsible for making their own medical decisions and consulting an appropriate healthcare professional when needed.
14. Yoga + Wellness Activities
Yoga, meditation, movement, breathwork, wellness experiences, and similar activities are optional unless otherwise stated.
Travelers are responsible for participating within their own abilities and communicating injuries, limitations, pregnancy, medical conditions, or other relevant concerns to the applicable instructor or provider.
Yoga Travel Adventure LLC does not provide medical advice and does not guarantee that any particular yoga, wellness, or physical activity is appropriate for every traveler.
15. Independent Travel Suppliers
Yoga Travel Adventure LLC does not own or operate most of the hotels, airlines, transportation companies, restaurants, excursion providers, retreat venues, guides, instructors, or other businesses that provide travel services.
These providers operate independently and may maintain their own policies, waivers, terms, and conditions.
Yoga Travel Adventure LLC works to select reputable travel partners, but we cannot control the acts, omissions, delays, cancellations, service changes, safety practices, or other actions of independent suppliers.
To the fullest extent permitted by law, YTA is not responsible for losses, injuries, damages, delays, expenses, or other claims caused by the acts or omissions of independent suppliers.
16. Assumption of Travel Risk
Travel inherently involves risks.
These may include transportation delays, weather, illness, injury, accidents, political or civil events, natural disasters, unfamiliar environments, remote locations, local infrastructure, wildlife, water activities, physical activities, crime, and other circumstances that cannot always be anticipated or controlled.
By choosing to travel, you acknowledge and accept the ordinary risks associated with your destination and planned activities.
Travelers are responsible for reviewing current destination information, travel advisories, entry rules, local laws, health requirements, and conditions before and during travel.
17. Force Majeure + Events Beyond Our Control
Yoga Travel Adventure LLC is not responsible for delays, cancellations, itinerary changes, additional expenses, or inability to provide services resulting from events beyond our reasonable control.
These may include severe weather, natural disasters, epidemics or pandemics, war, terrorism, civil unrest, strikes, government actions, border closures, transportation disruptions, supplier failures, labor disputes, or similar extraordinary circumstances.
Refunds or credits in these circumstances will depend on amounts actually recoverable from the applicable suppliers and the terms of the specific booking.
Yoga Travel Adventure LLC cannot guarantee refunds for amounts that suppliers do not return.
18. Photography + Media
Photos and video may be taken during Yoga Travel Adventure LLC retreats or group experiences.
YTA may request permission to use photographs or video featuring travelers for website, social media, advertising, promotional, or other business purposes.
When a separate photography or media release is provided, the terms of that release will govern YTA’s use of a traveler’s identifiable image or likeness.
19. Personal Conduct
Travelers are expected to treat fellow travelers, guides, instructors, suppliers, local communities, and YTA representatives respectfully.
Yoga Travel Adventure LLC reserves the right to remove or deny continued participation to a traveler whose behavior creates a safety concern, violates applicable law or supplier policies, materially disrupts the experience of others, or involves threatening, abusive, discriminatory, harassing, or otherwise inappropriate conduct.
A traveler removed after a trip has begun may not be entitled to a refund and will be responsible for any resulting transportation, accommodation, or other expenses.
20. Privacy
Personal information collected in connection with a booking may be used to arrange and manage your travel and may be shared with hotels, airlines, tour operators, transportation companies, retreat venues, insurers, guides, or other providers when reasonably necessary to fulfill your arrangements.
Additional information regarding how Yoga Travel Adventure LLC collects, uses, stores, and shares personal information may be addressed in a separate Privacy Policy.
21. Limitation of Liability
To the fullest extent permitted by applicable law, Yoga Travel Adventure LLC and its owners, officers, employees, contractors, representatives, and agents will not be liable for indirect, incidental, consequential, or special damages arising from travel arrangements, trip participation, independent supplier actions, or circumstances beyond YTA’s reasonable control.
Nothing in these Terms + Conditions is intended to waive or limit any right, remedy, or liability that cannot lawfully be waived or limited.
22. Governing Law + Dispute Resolution
These Terms + Conditions and any booking or travel services provided by Yoga Travel Adventure LLC are governed by the laws of the State of Minnesota, without regard to conflict-of-law principles.
If a dispute arises relating to a booking, trip, travel-planning service, these Terms + Conditions, or services provided by Yoga Travel Adventure LLC, the traveler and YTA agree to first make a good-faith effort to resolve the matter directly.
If the dispute cannot be resolved informally, either party may request mediation in Minnesota before pursuing further legal remedies.
If both parties agree to submit the dispute to binding arbitration, the arbitration will take place in Minnesota and will be conducted in accordance with applicable Minnesota law. Minnesota law recognizes written agreements to arbitrate and provides procedures governing arbitration agreements and proceedings.
Nothing in this section prevents either party from pursuing an eligible claim in small claims court.
To the extent a dispute is not resolved through informal resolution, mediation, mutually agreed arbitration, or small claims court, any legal proceeding shall be brought in a state or federal court of competent jurisdiction in Minnesota, and the parties consent to the jurisdiction of those courts.
23. Updates to These Terms
Yoga Travel Adventure LLC may update these Terms + Conditions periodically.
The version posted on the Yoga Travel Adventure website at the time of booking will apply unless otherwise stated in writing or superseded by specific terms agreed to as part of the applicable booking.
Acceptance
By making a booking, paying a deposit or invoice, or otherwise confirming travel services through Yoga Travel Adventure LLC, you acknowledge that you have read, understood, and agreed to these Terms + Conditions and any additional trip-specific or supplier terms applicable to your booking.
I agree that I have read and accept the Yoga Travel Adventure LLC Terms + Conditions, the cancellation and refund policy specific to my trip or booking, and any applicable supplier terms and conditions. I understand that Yoga Travel Adventure LLC strongly recommends purchasing appropriate travel insurance promptly after booking.
